Generally

You book a room for a certain time and booking is via online booking, e-mail or telephone. You can reach the online booking via the website www.arcticlodge.nu. Special requests that can not be specified via the online booking can be sent via e-mail to info@arcticlodge.nu. You can also call us on telephone number +46 (0)70 300 6000.

All data communication is encrypted and secure according to industry standards. Arctic Lodge cannot be held responsible for any problems that are beyond Arctic Lodge’s control.

By clicking in the booking system and completing and paying for a booking, you accept these booking rules. Guests at Arctic Lodge are obliged to follow the routines that apply to the facility, which means, among other things, that on arrival you check in by phone or text or alternatively check in at a hotel room according to the hotel industry’s recommendations and on departure follow the checklist available. You who live at the facility are obliged to follow all rules of procedure during your stay and are aware that cleaning is not included in the price, unless you have bought for departure cleaning at the time of booking.

Guests who cause damage are fully liable for damages and any side effects. Guests who behave in a disruptive manner and / or do not follow the rules of procedure and / or instructions from staff can be rejected immediately without a refund of the rent. Crime, or threat of crime, will be reported to the police. Adults / parents are responsible for accompanying minor children.

Residents clean the apartments according to our checklist and with the provided cleaning material unless departure cleaning has been purchased as an additional service. If the cleaning is substandard or has not been carried out at all, an extra cleaning cost of SEK 600 will be charged. If you lose the room key, an additional SEK 500 will be charged.
The facility has a part-time Arctic Lodge host. This means that the person in question is not always available on site. The host can be reached by telephone at a number that is signposted at the facility.

Security and valuables 

The customer is obliged to follow the safety instructions that apply to the facility. Negligence may imply liability for damage. Smoking may only take place outdoors. Arctic Lodge cannot take responsibility for valuables stored in the rooms.

Season

Our season is divided into different periods with varying prices. Current prices and information about the facility can be found on our website.

Reservation

The customer is responsible for his own booking and any incorrectly stated information. All bookings are made online according to the principle “first come, first served”. No oral “reservations” apply. All bookings will only be valid when payment has been made and only then will the booking be accepted by the customer and Arctic Lodge. The person that makes the reservation must be one of the guests at the facility and is also fully responsible for ensuring that all accompanying persons follow the rules of procedure. The number of accommodations must not exceed the number of beds in the rooms.

Reservations can only be made per room and not per bed. Prices can be adjusted during the season. The bookable items can be found in the online booking where you specify time intervals during the season and the type of room you wish to rent. Check-in takes place at the earliest at 15:00 on the day of arrival and check-out takes place no later than 11.00 on the day of departure, unless otherwise agreed with the staff.

Payment

When booking via online booking, the full amount will be charged to the customer’s card in connection with booking. When booking by e-mail or telephone, an invoice is sent to the customer’s e-mail address. Via the invoice, the customer pays 100% of the booking amount. Payment must be made no later than 10 days after the booking date. If payment is not made within this time, the stay will be canceled. For bookings less than 10 days before the day of arrival, free cancellation is not applied and payment must be made immediately.

Prices and discounts

Prices for accommodation, any discounts and other additional services are stated during the booking procedure in our web-based booking system. For special events, such as group bookings and the like, pricing takes place according to agreement.

Cancellation

A booking is considered completed when it has been booked via the online booking and a confirmation has been sent to the e-mail address provided by the booker. Then money is also deducted from the user’s verified account. If you want to cancel your stay, a refund will be made as below. However, Arctic Lodge always retains a booking fee of SEK 500 / room.

▪ If cancellation is made earlier than 30 days before the day of arrival, the full amount will be refunded.

▪ If cancellation is made later than 30 days but earlier than 2 weeks before the day of arrival, 50% of the amount will be refunded.

 ▪ If cancellation is made later than 2 weeks before the day of arrival, no refund will be made.

At the moment, the online booking can unfortunately not handle cancellations and refunds automatically and cancellations must therefore be made via e-mail to info@arcticlodge.nu. Transmission date is counted as cancellation date. Arctic Lodge will refund the current amount to the account from which the payment was made via Stripe. Arctic Lodge can not affect any delays in transactions after Arctic Lodge has made its payment. Upon presentation of a valid medical certificate proving acute illness or equivalent, the full amount will be refunded except the booking fee of SEK 500 / room.

If you have booked via booking.com or another booking site, the respective website’s booking and cancellation conditions apply.

Change of booking

At this time, the online booking cannot handle changes and refunds / additional payments of a changed booking. If you cancel or change a booking, you must therefore contact us via e-mail (info@arcticlodge.nu) or telephone (+46 (0)70 300 6000). In order for a cancellation or change to be valid, you must have received a confirmation via e-mail.

Billing

Invoicing can only take place in special cases. If you want invoicing, please contact us by e-mail (info@arcticlodge.nu) or telephone (+46 (0)70 300 6000). Payment must be made within 10 days. If the invoice is not paid on time, the booking will be considered invalid and will be canceled.

Check-in

According to Swedish law, all guests must check in immediately upon arrival. You do this by notifying your arrival by phone or text message, or by filling in a check-in form that you leave in the reception’s mailbox.

Responsibility

Accommodation at the facility and stays in the area are at your own risk. Arctic Lodge does not take any responsibility for equipment, vehicles, etc. Arctic Lodge has the right to exceptionally and for a shorter period during the season close parts of the facility for repairs, other activities or for other reasons. In the event of any major unforeseen events, Arctic Lodge has the right to close the entire facility.

Nor can Arctic Lodge be held responsible for weather, accidents or other events or circumstances that Arctic Lodge cannot directly affect, nor for any additional costs incurred or damages and costs to third parties. Arctic Lodge must inform the booker as soon as possible if his / her booking cannot be used. Bookings during another period can then be offered, but if a booked stay cannot be used due to the above circumstances, Arctic Lodge’s liability for damages never amounts to more than the amount paid for accommodation and any additional services.
